How to automatically send a payment receipt in Rounded

Send receipts automatically (3 easy ways)

You can turn on automatic receipts in Rounded in 3 places, depending on how your client pays:

  • Via Invoice (When Manually Recording a Payment): If a client pays you via cash, or check, you will likely record the payment manually on the invoice itself.

  • Via Bank Feeds (When Reconciling Income): If you reconcile your payments against invoices via bank feeds.

  • Via Payment Settings (For Stripe or PayPal): If your clients pay online using the credit card (Stripe) or PayPal buttons directly on your Rounded invoices.

Automatically Send via Invoice

  1. Go to InvoicingAll invoices → open the invoice.

  2. Click Record a payment.

  3. In the slide-out panel, enter the payment details (amount, date, category, and description).

  4. Tick Send receiptSave.

  5. The receipt is emailed right away.

Automatically Send via Bank Feeds

  1. Go to Bank Feeds.

  2. Find the credit transaction → Add to income → match it to the invoice.

  3. Tick Send receiptDone.

  4. The receipt is emailed after it reconciles.

NOTE: When a client has multiple contacts, the receipt is automatically sent to all listed contacts.

Automatically Send via Payment Settings

  1. Go to SettingsPayments.

  2. Under Online Payments, tick Automatically send a receipt when an online payment is received.

  3. After that, every online payment marks the invoice paid and emails the receipt.

NOTE: When a client has multiple contacts, the receipt is automatically sent only to the default contact.

Send a receipt manually

You can also send the receipt manually:

  1. Go to InvoicingAll invoices and select the invoice you want to record a payment.

  2. Click Record a payment.

  3. In the slide-out panel, enter the payment details (amount, date, category, and description).

  4. Make sure the option to automatically send a receipt is unticked.

  5. Click Save.

  6. Click Send receipt to continue.

  7. A panel will slide out from the right. Click on the To... field to enter an email address, or click on the default email address of the client.

  8. Click Send receipt to send the receipt.
